We have developed software programs and procedures for extracting data from various medical records computer databases and converting the data for import into new systems
Note: This write-up expands on the process used to convert medical records databases.
However, this technology is not restricted, but applies generally to any database conversion.

We have developed software programs and procedures for extracting data from various medical records computer databases and converting the data for import into new systems. For several of the popular programs, the procedures have been automated and tested in real-life conversions. For any database we have not previously converted, there may be some one-time setup costs.
Our technology supports automated data scrubbing, field splitting, data verification and the flagging of suspect data for manual scrubbing. We can split City-State-Zip and verify state names and zip codes. Telephone numbers and Social Security numbers can be verified and formatted to your specification. Dates are verified and converted to four-digit year format. Other fields can be converted from alphanumeric field codes to text descriptions or alternate codes as required.
We transform flat-file organization to relational database tables, mapping the fields from the old database into the desired new organization. We support the linking of data fields from several tables, such as separately extracted data covering guarantors, insurance coverage, claim centers, providers, diagnostic codes and procedures. The converted data is checked for validity and format. Careful analysis and thorough, step-by-step procedures provide accurate results.
The converted data can be provided in a variety of formats, such as comma or tab separated values, fixed field, Excel, Access or SQL Server, ready for import into your new program. Alternatively you may provide data-file specifications and we can provide a ready-to-use data file.
We can assist you by providing procedures for extracting the data from your current system. The extracted data can be placed on removable media (floppy, CD, Travan tape, DDS tape or other) and sent by mail, or you may choose to attach the data files to an email message.
We have had experience with Medical Manager, PMS Gold, systems based on Access, SQL Server, Excel, various R:Base applications, and limited experience with FoxPro and other xBase systems. While we have not worked with some database systems such as Approach, or Paradox, we believe that our technology should support conversions from nearly any data source.
